Add and manage your meeting applications in VCA, and quickly launch them via the controller, easily starting or switching meetings.

VCA allows you to add frequently used video conferencing software and web meeting services to the system and quickly launch and manage them via the Controller, enabling convenient meeting initiation and platform switching. To achieve this, you first need to configure these applications on the Host.

Configure Meeting Applications in Host

You need to add and manage meeting applications in the VCA settings on the Host side. These configurations will directly affect the list of available applications and quick launch features on the Controller.

  1. Access Application Settings:

    • In the main interface of the Host software or through its system tray/menu bar icon, go to "Settings".

    • In the left navigation bar of the settings interface, select "Applications".

    • If this is your first configuration, the page may display a message indicating "You have not added any applications yet".

  2. Add Applications: Click the "+" button in the lower-left corner of the application list. The "Add Application" window will pop up. You can add applications in any of the following ways:

    • Auto Scan:

      1. In the "Add Application" window, select the "Auto Scan" tab.

      2. VCA will automatically scan your host for commonly used meeting applications that are already installed.

      3. After the scan is complete, check the applications in the list that you want to add to VCA.

      4. Click the "Add" button in the lower-right corner of the window.

    • Manual Add: If the auto scan did not find the application you need, or if you want to add an application with a custom path:

      1. In the "Add Application" window, select the "Manual Add" tab.

      2. Click the "Browse..." button.

      3. In the file selector that appears, find and select the executable file of the meeting application you want to add (e.g., .exe file on Windows, .app file on macOS).

      4. Click the "Add" button in the lower-right corner of the window.

    • Add Web Application: For some browser-based meeting services, you can add them as web applications to VCA:

      1. In the "Add Application" window, select the "Web Application" tab.

      2. Check the web meeting services you want to add from the list (e.g., Google Meet, Webex, etc.).

      3. Click the "Add" button in the lower-right corner of the window.

  3. Manage Added Applications and Shortcuts: Successfully added applications will be displayed in the list on the "Applications" settings page. You can manage each application in the list as follows:

    • View Application List: The list will display the application icon and name.

    • Application Sorting Management: Change the default sorting of application icons on the Controller homepage and in the quick switch drop-down menu. Long-press the application row with the left mouse button, move it to the target position, and release.

    • Check for Controller: If the application has an official Controller app, it will be displayed as green "Yes"; otherwise, it will be displayed as red "No". For popular applications, VCA will provide compatible third-party Controller functionality.

    • Enable Quick Switch: Find the "Quick Switch" toggle switch on the right side of the list.

    • Remove Application: Select the application you want to remove, then click the "-" button in the lower-left corner of the list.

Launch Meeting Applications on Controller

After successfully adding and configuring meeting applications on the Host, these applications will be automatically synchronized to the "Home" tab of the paired Controller, allowing you to launch them quickly.

  1. Access the Home Tab: In the main interface of the Controller app, ensure you are on the "Home" tab.

  2. View and Launch Applications:

    • The "Home" screen will display the icons of the meeting applications that have been added to VCA and synchronized.

    • Simply click the icon (e.g., Zoom, Microsoft Teams, etc.).

    • The Host will automatically launch the corresponding application or open the relevant web meeting service. After successful launch, the Host will notify the Controller to bring up the meeting application's official Controller app, or redirect to compatible third-party Controller functionality (if available).

  3. Start or Join Instant Meetings: After launching an application in this way, you can operate the meeting software just like on a regular computer, for example, starting a new instant meeting, or entering a meeting ID/link to join a meeting.

  4. Launch Applications via Quick Switch:

    • In any application, click the "Draggable Floating Button", and select the target application from the pop-up drop-down menu to launch it.

Exit Applications

  • In the application launcher on the Controller's "Home" tab, if there is an "Exit" button below the application icon, it means the application is currently running. Clicking the button will prompt the Host to attempt to safely exit the application.

  • When switching applications using the Quick Switch feature, VCA will attempt to safely exit the current application before launching the new target application.
