Installation and deployment

After you launch the VCA Host software and the VCA Controller application for the first time, you need to perform some initial configurations to complete the system setup and activation.

VCA offers different versions of licenses (VCA, VCA Pro, VCA Max). For detailed license information, purchase options, or possible trial opportunities, please visit our official website vcaapp.com. This help document is mainly aimed at users who have obtained a license and are ready to install and use it.

Download Software

Before starting the installation, you need to obtain the installation file of the VCA software.

Install VCA Host

Please complete the following steps on the computer host, which may require a mouse and keyboard.

macOS

Download Application

Please visit the designated download page on the official website to obtain the VCA installer for the macOS operating system.

Open Disk Image

Double-click the vca_latest.dmg file, and the system will automatically mount and open the disk image.

Copy Application

In the opened window, drag the icon of VCA.app to the "Applications" folder.

First Launch and Authorization

• Open the "Applications" folder, find and double-click VCA.app to launch the program.

• Security Prompt: When launching for the first time, macOS may display a security prompt, please click "Open".

• System Permissions: VCA.app requires specific system permissions (Full Disk Access, Accessibility). Please follow the system prompts and grant the required permissions to VCA.app in "System Settings" -> "Privacy & Security".

• Firewall: If the macOS firewall is turned on, it may ask whether to allow VCA.app to accept incoming network connections when running for the first time, please select "Allow".

Region and Server Settings

• Select your country or region according to the prompts.

• Confirm the connected server, the official server is used by default. If you need self-hosting, please visit Private Deployment.

• If your network environment needs to access the Internet through a proxy server, please enable Proxy and configure it accordingly.

Conference Room Information

• Enter the conference room name where this VCA Host device is located.

• Enter or automatically obtain the location of the conference room.

Software Activation

In this step, you can choose to activate a trial license or use the official license you have purchased.

• Get a Trial

  1. Select the "Free Trial" tab.

  2. Enter your work email.

  3. Select the VCA version you want to try.

  4. After reading and agreeing to the terms of service and privacy policy, click "Start Trial".

  5. The software will be activated automatically, and your work email will receive an email containing the trial license key, please keep it safe.

• Activate Full License

  1. Select the "Activate" tab.

  2. You can choose any of the following methods to activate:

     • Enter License Key: Paste your license key directly into the "License Key" input box, and then click "Activate".

     • Select a License from Account: Click "Select a License". The system will display a list of licenses available under your VCA Cloud account. Select a valid license from this list and click "Activate".

  3. After successful activation, the activation status and license expiration time will be displayed in the software. The VCA Host will be synchronized to the organization to which the license belongs and accept remote management.

Pair VCA Controller

• After the VCA Host software is activated, it will enter the VCA Controller pairing interface and display a pairing QR code and a digital pairing code.

• Please keep this interface open and refer to the steps in the next section "Install Controller" to use your tablet Controller application for pairing.

Install VCA Controller

Please complete the following steps on the tablet.

iPadOS

Install Application

• Method 1: Guided Download via Host Pairing QR Code

  1. When the Host software displays the pairing QR code.

  2. Use the "Camera" application that comes with your iPad system to scan the pairing QR code on the Host interface.

  3. If the Controller application is not installed on your iPad, the system will usually automatically recognize and guide you to the application download page in the App Store. Follow the prompts to complete the download and installation.

• Method 2: Download via Official Website Download Page

  1. Visit the VCA official download page in your iPad browser: https://vcaapp.com/download?tab=controller

  2. Select the iPadOS version to download, and the page will guide you to the App Store.

• Method 3: Search Directly in the App Store

  1. Open the "App Store" on your iPad.

  2. Search for "VCA Controller"

  3. Find the application and complete the installation.

Launch Controller Application

Launch the installed "VCA Controller" application on your iPad.

Start Pairing

• Scan QR Code: Use the scanning function in the "VCA Controller" application to scan the pairing QR code displayed on the Host software interface.

• Or, Enter Digital Pairing Code: Select the Enter Code tab in the Controller application and enter the 6-digit pairing code displayed on the Host software interface.

Complete Pairing

• Once the Controller is successfully connected and paired with the Host, the Host software interface will display the connected Controller information (such as device name, software version, IP address).

• At this time, click "Finish" on the Host software interface.

• The Controller application interface will also display a successful connection and enter the main control interface.

Android

The initial configuration is now complete, and your VCA system is ready.
